Full-Service Event Planning and Coordination

Initial meeting and planning session to discuss:
Your Celebration of life event Vision, Family and Friends, guest list, the
Invitation, the Venue, Tables, Chairs, Decoration, Flowers, Entertainment,
Special requirements and requests.

WE WILL:

• Handle venue contracting
• Contract and oversee all subcontractors/vendors throughout the entire process
• Create and distribute invitations
• Organize and orchestrate day-of operations of setup and breakdown

Celebrations of Life will tailor your event to meet your specific needs,
adapting and expanding services along the way should changes
be desired or necessary.  We strive to ensure your day is effortless as
possible for you.

Your Celebration of Life investment will be determined based on the type
of event and the services you desire.  We will provide an estimate following our initial meeting.

Your Celebration of life support may include
from any to all of the following:

• Initial phone call before booking for you to tell us about your honoree, your ideas, discuss your vision for the celebration of life memorial, and answer your questions.
• If you don’t have a venue selected, we can help you find and book one that feels right for you
• A site visit at your venue to talk about the layout and logistics of the event including guest arrival, parking, set up for the program/service, menu selection, seating, where photos will be placed, etc. We will help you identify small details you might not have considered.
• Manage vendor communications and coordination so that you don’t have to spend your time replying to a flood of emails from vendors asking questions about logistics and details
• Phone and video meetings as needed to answer your questions and help to keep you on track with the event planning
• Create and maintain an event day timeline and distribute it to your vendors to ensure the day goes smoothly and as scheduled
• The week of your event we call your vendors to confirm the details, review the timeline, and send them the finalized timeline so that everyone is on the same page and prepared
• On the event day:
  • Arrive early with an assistant, typically before the other vendors, so we are able to answer their questions
  • Oversee the setup of vendors and answer their questions to ensure that the setup is perfect
  • Keep the day on schedule and flowing so that you can be present and not worry
  • Point person for questions from vendors so you are not disturbed during the event
  • Point person for guest questions
  • Placement of personal items provided by you (programs, favors, photos, guestbook, menus, memorabilia, signs, etc.) so that you don’t have to ask a friend or family member
  • Apply final touches to the decor so that everything
  • Assist guests and family as needed
  • During the program/service, coordinate and cue musicians, AV, photographers, videographers, and speakers so the program flows smoothly
  • At the end of the event collect cards and personal items and give them to a designated person to take home
  • Oversee vendor clean-up and breakdown at the end of the event
• All Celebration of Life packages are custom-created for your event to honor your loved one. After a brief meeting or call together to learn about your honoree, your vision for your event, what you have in place, and what you need to do, we will provide a customized quotation.
